Privacy Policy

1. Who this applies to

This policy covers visitors to scalecore.io, people who sign up for a ScaleCore CRM trial or subscription ("Customers"), and individuals whose data Customers store in the CRM — their leads and contacts ("End Users"). If you're an End User and have questions about your data, please contact the agency that added you to ScaleCore directly — they control that data; we process it on their behalf (see Section 6).

2. Information we collect

• Account information: name, email, company name, password (encrypted), role.
• Billing information: processed directly by Stripe, our payment processor. We do not store full card numbers.
• CRM content: contact and lead records, deal/pipeline data, notes, and call recordings or transcripts that Customers or their reps add to the platform.
• Integration data: data pulled in when you connect Calendly, Cal.com, Typeform, Gmail, Fathom, or Granola — limited to what's needed to power scheduling sync, lead intake, and call coaching.
• Usage data: pages visited, features used, device and browser information, collected via standard analytics.
• Communications: anything you send us via email, chat, or a demo request form.

3. How we use information

We use this information to provide and improve ScaleCore CRM, process payments, send product and billing communications, power the Felix AI call-coaching feature, provide customer support, and meet legal obligations.

4. AI features (Felix)

Felix analyzes uploaded or synced call recordings and transcripts to generate coaching scores and recommendations. Felix's output is a suggestion, not a guarantee of accuracy, and should not be the sole basis for employment decisions. Call content may be processed by our AI infrastructure providers solely to generate this feature; see Section 6.

5. Legal basis for processing (UK/EU users)

We process personal data under one or more of: performance of a contract (providing the service you signed up for), legitimate interests (improving and securing the product), consent (where required, e.g. certain cookies), and legal obligation.

6. Who we share data with

We share data with service providers who help us run ScaleCore, including hosting and database infrastructure, Stripe (payments), email delivery providers, and AI infrastructure providers that power Felix. These providers are only permitted to use the data to provide services to us. Where a Customer stores End User data (their leads/contacts) in ScaleCore, we act as a data processor on that Customer's instructions; the Customer remains the data controller for that data. A data processing agreement is available on request.

7. International transfers

Some of our service providers are located outside the UK/EEA. Where this is the case, we rely on appropriate safeguards such as Standard Contractual Clauses.

8. Data retention

We retain account and CRM data for as long as your subscription is active, and for a reasonable period afterward to meet legal, accounting, or dispute-resolution needs. You can request deletion at any time (Section 10).

9. Cookies

We use essential cookies to run the site and, where applicable, analytics cookies to understand site usage. You can control cookies through your browser settings.

10. Your rights

If you're in the UK or EEA, you have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise these rights, email privacy@scalecore.io. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ico.org.uk).

11. Security

We use industry-standard technical and organizational measures (encryption in transit, access controls, row-level data isolation between agencies) to protect your data. No system is 100% secure, and we can't guarantee absolute security.

12. Children

ScaleCore is a business tool and is not directed at, or intended for use by, anyone under 18.

13. Changes to this policy

We'll post updates here and, for material changes, notify active Customers by email.
